What You Need to Know When You Reserve and Use Meeting Space at St. Mark's Church

  1. Parishioners of St. Marks: To reserve meeting space, contact the Program Associate, Kathrine L. Ebert (kathrine.ebert@stmarks.net) with the following information:
    • Date (Include 2nd and 3rd choices, if possible, and first and last dates if reserving space for class or series.)
    • Time (beginning and ending and, if applicable, setup and cleanup times)
    • Room(s) (1st, 2nd, and 3rd choices)
    • Name of Group/Nature of Activity
    • Number of people
    Special Note Re: annual events, classes and activities: Do not assume that space reservations have been made "automatically." Please call Kathrine to confirm.
  2. Groups or Organizations Not Affiliated with St. Mark's:

    1. Contact the Program Associate, Kathrine L. Ebert (kathrine.ebert@stmarks.net or 202/543-0053, ext. 306) to see if the date and type of space you want to use at St. Mark's are available and what the fees for that space would be.

    2. Please complete the Space Use Agreement for Outside Groups (PDF) form and return it (signed by an authorized representative of the group or organization) to Ms. Ebert at the Parish Office with checks for the required (refundable) security deposit and space use fees. After the Rector approves the Agreement, a countersigned copy will be sent to you.

    3. Once you have received the countersigned agreement, please download and submit the Space Set-Up Request (PDF) form describe in No. 3 below.

  3. Set-up: To arrange for setup (tables, chairs, easels, flip charts, hot water, coffee, cups, etc.), at least one week in advance (two weeks, if your event requires setup for 50+ people) contact the Maintenance Contractor, Edwin Green (202/543-0053 x307 and fill out a Space Set-Up Request (PDF), available in the Undercroft, and place the form in Edwin Green's Undercroft or Baxter House mailbox).
    • Regular setups are performed Monday-Friday during business hours (10:00 AM. - 6:30 PM.). This includes setups for Saturday and Sunday events. Additional setup times or requirements might require hiring the Maintenance Contractor.

    • For weekend events, you are responsible for the resetting of furniture for Sunday worship and Sunday School needs or the hiring of the Maintenance Company to do it for you.

  4. To obtain keys, contact Edwin Green.
    • You will need keys each time you meet in St. Mark's Nave, Parish Hall, or Undercroft except on Sundays. You will need a key to Baxter House anytime you meet outside of business hours (Monday - Friday, 9:00 AM. to 6:00 PM.).

    • If your group will meet on a continuing basis, you may keep the keys until the end of the class or series.

  5. Room Temperature, Heat & Air-Conditioning: Thermostats for heat and air-conditioning are in locked boxes. To adjust the room temperature, first try opening or closing the air vents. Second, page Edwin Green (240/447-0027) to adjust the thermostats.

  6. Security: Keep exterior doors locked at all times. Do not prop open the doors for any length of time. Station someone in your group by the door(s) to admit participants/attendees, including latecomers.

  7. Lock-up: After your meeting, check your area (and the bathrooms). Please make sure that:
    • Coffeepots are off and unplugged.
    • No water is running.
    • All lights are off (except the emergency exit lights).
    • Everyone has left.
    • All (especially exterior) doors are locked.
